Job Description for Office Manager:

The Office Manager is a part-time position. The position works directly with the Managing Artistic Director (direct supervisor), Business Manager, PR Director and Advisory Board.

Office Manager Responsibilities:

Manage the front desk and reception, answer incoming calls daily from 10-2.

Maintain database and spreadsheet files.

Order office supplies.

Sort and prepare mail.

Organize show and event contracts in electronic and paper files.

Handle Social Marketing on Facebook, Instagram, Twitter and other sites for upcoming events.

Assist Business Manager with Accounts Payable and Box Office procedures.

Accounting Assistance including Quickbooks online and payroll.

Assist in managing donor information in Data Base.

Basic computer troubleshooting.

Maintain a well supplied and orderly office environment.

Coordinate artist schedules and meetings.

Office Manager Minimum Qualifications:

High school diploma or equivalent required - Bachelor's degree preferred.

2+ years experience as an Office Manager.

Proficient in Microsoft Office Software.

Ability to multi-task and work in stressful environment.

Excellent written and verbal communication skills.

Ability to work independently or in a team.

Proven customer service skills.

Strong organizational skills.

Office hours will generally be weekdays from 10:00-2:00, with some room for flexibility. Ideal candidates will be well organized and a motivated self-starter who is interested in growing with the company. An interest in the arts is preferred but strong understanding of financial management is a requirement. We anticipate a January start date.

The Invisible Theatre (IT) of Tucson, a non-profit 501(c)(3) organization, is dedicated to producing quality theatre and arts education experiences for all facets of the community in an intimate setting that showcases local professional talent and guest artists. IT takes its name from the invisible energy that flows between a performer and audience, creating the magic of theatre. Started in 1971 as an arena for local playwrights, the theatre has expanded its programs to include adaptations of classics and recent Off-Broadway plays and musicals, while continuing to encourage new playwrights through both full productions and stage readings.Under the leadership of Managing Artistic Director Susan Claassen and Associate Artistic Director James Blair, IT is strongly committed to community service and outreach programs. The company's current season includes a six-play Main Stage season, many special events, organizational collaborations, educational tours, Project Pastime – an educational theatre program for the mentally challenged youth and seminars that encourage community dialogue. The Invisible Theatre is a member of the Theatre Communications Group and has long enjoyed both local and national recognition for its strong leadership role in the arts community. The theatre is administered by a professional staff and an advisory board, augmented by over 70 theatre artists annually. Productions take place in an intimate 80-seat converted laundry building. IT celebrates its 45th season with an even greater commitment to professionalism, artistic excellence, accessibility, freedom of expression, diverse programming and creative challenge – thus making the Invisible Theatre a very visible force in Tucson's cultural community.
